Terms of Service

1. Service

Nova is an AI receptionist that answers phone calls on behalf of your business. We configure, maintain, and continuously improve Nova based on your specific practice and feedback.

2. 30 days free after go-live

Your first 30 days after Nova goes live on your real calls are free. The clock starts when you approve Nova is ready — not at signup. If Nova isn't good enough by go-live, we don't go live.

3. Pricing + billing

• Setup: $2,500–$5,000 one-time, billed at contract signing.
• Monthly: $500–$800 (Staff Augmentation) or $1,000 (Full Replacement), billed in advance, starting at go-live + 30 days.
• Month-to-month after setup. Cancel anytime with 30 days notice.

4. Your responsibilities

• Provide accurate info about your business, services, hours, and policies.
• Maintain your own scheduling software and CRM accounts.
• Review Nova's handling of calls and flag issues promptly.

5. Our responsibilities

• Train Nova on your practice before go-live.
• Monitor and tune Nova's performance monthly.
• Keep call recordings secure and HIPAA-compliant.
• Respond to critical issues within one business day.

6. Uptime + outages

We target 99.5% uptime. If Nova is down longer than 4 hours in a billing cycle, we credit you a prorated refund. Calls during an outage still ring through to your existing phone line — Nova doesn't replace your phone system, she answers it.

7. Data + privacy

See our Privacy Policy. We don't train public models on your data. We don't sell your data.

8. Limitations

Nova is a service, not a substitute for medical, legal, or financial advice. She handles scheduling and qualification — she doesn't diagnose, prescribe, or advise. We're not liable for decisions you make based on Nova's calls beyond the specific services contracted.

9. Changes

We may update these terms with 30 days notice to active clients. Continued use after notice means you accept the update.
